At Vedic Seva Charitable Trust (VSCT), we are committed to ensuring that individuals with limited English proficiency (LEP) have meaningful access to our services, programs, and activities. We recognize that certain individuals may not speak English as their primary language or may have limited ability to read, write, speak, or understand English. VSCT strives to provide equal opportunities for all people to participate in our programs, irrespective of their language proficiency.

Reasonableness Analysis

VSCT will consider the following factors to determine when to provide language assistance to individuals with LEP:

    • The Number or Proportion of LEP Persons: We will assess the proportion of LEP individuals in the areas we serve.
    • Frequency of Contact: We will evaluate how often LEP individuals interact with our services, programs, and activities.
    • Nature and Importance of Services: The importance of the services being offered will be taken into account when deciding on the necessity of language assistance.
    • Available Resources: We will consider the resources available to provide language services, including costs and feasibility.
    • When reasonably required and practicable, VSCT will provide language assistance services such as translation or interpretation without cost to the person being served.

Identifying LEP Persons and Their Language

To identify the language needs of an LEP individual, VSCT staff will use available resources such as language identification cards or other tools to determine the preferred language of communication. In addition, we will maintain records of individual interactions, including the languages used in communication, to help better serve LEP individuals in the future.

Disability Accommodations

We recognize that individuals with disabilities may require specific accommodations to participate in certain programs and activities. We encourage individuals with disabilities to contact us to discuss reasonable accommodations that may be needed to ensure full participation.

Language Assistance Options

If an individual with LEP requires assistance, VSCT will provide one or more of the following services, depending on the nature of the program and the resources available:

    • Oral Interpretation: If requested, VSCT will provide oral interpretation services through bilingual staff or, where necessary, external interpreters.
    • Written Translation: For important materials or documents, VSCT will consider translating documents or providing summaries in the preferred language of the LEP individual.
    • Use of Technology: In cases where appropriate, VSCT may use online translation tools (e.g., Google Translate) or video/audio-based interpretation services.
    • Family/Friends as Interpreters: While VSCT encourages the use of professional interpreters, LEP individuals may choose to use a family member or friend to assist with interpretation, though they are not required to do so.

How to Request Language Assistance

To request language assistance for any of VSCT’s programs, activities, or services, LEP individuals should submit a request to the appropriate VSCT office at least 10 business days before the program or activity. We will review the request and determine how best to provide the needed services, based on our resources and the factors outlined in the Reasonableness Analysis.
